GHOSTBOND Academy — Certification Policy

This Policy forms part of the GHOSTBOND Academy Terms and Conditions.

1. Purpose

1.1 This Policy explains what a GHOSTBOND Academy certificate is, how it is earned, how it may and may not be used, and when it may be revoked.

1.2 It protects the integrity of the GHOSTBOND name and ensures that consumers are not misled about the status of a certificate holder.

2. What a Certificate Is

2.1 A GHOSTBOND Academy certificate confirms that the named individual completed a specified course of instruction on a specified date, and met the assessment criteria stated for that course.

2.2 Each certificate states: the holder’s name, the course title, the version of the curriculum, the date of completion, a unique certificate number and, where applicable, an expiry date.

3. What a Certificate Is Not

3.1 A GHOSTBOND Academy certificate is not:

1. a licence, State registration or occupational authorisation to practise;
2. a cosmetology, barbering, trichology or medical qualification;
3. an accreditation by any national qualifications authority, unless the course page expressly states the accrediting body and reference;
4. a warranty of your skill, competence or the results you achieve for clients;
5. an insurance policy, or evidence that you are insured;
6. a distributor, reseller, stockist or partner appointment; or
7. an endorsement by GHOSTBOND of your business.

3.2 You remain solely responsible for holding any licence, registration, permit and insurance required in your jurisdiction.

4. Levels of Recognition

4.1 GHOSTBOND Academy issues the following, as applicable to each course:

4.2 Only designations expressly listed above and issued by us may be used. You may not invent, abbreviate or extend a designation.

5. Assessment and Award

5.1 Assessment criteria are published on each course page before purchase.

5.2 Where practical assessment is required, it is carried out by an approved educator against a published rubric.

5.3 Where you do not meet the standard, we will tell you what was not met and, where the course provides for it, offer a reassessment. Reassessment may carry a fee, disclosed in advance.

5.4 Certificates are issued digitally to the email address on your account, ordinarily within 10 business days of successful completion.

5.5 Certificates are personal to the named individual and are not transferable to another person, a business or an entity.

6. Verification

6.1 Each certificate carries a unique number and, where implemented, a verification code or QR link.

6.2 Members of the public, employers and clients may verify a certificate at [VERIFICATION URL] or by emailing hello@ghostbondacademy.com.

6.3 Verification will confirm only: whether the certificate is valid, the course title, the completion date and the current status (valid, expired, suspended or revoked). No other personal information is disclosed.

7. Permitted Use of the GHOSTBOND Name and Marks

7.1 Subject to this Policy and while your certificate remains valid, you may:

1. state factually that you completed the named course, with the completion date — for example, “Completed GHOSTBOND Academy Advanced Lace Application, March 2027”;
2. display the certificate itself, unaltered, in your premises and on your website and social profiles;
3. use the certification badge we supply, unaltered and at the size and clear-space specified in the badge guidelines, adjacent to a statement of the course completed.

7.2 You must not:

1. use the GHOSTBOND, GHOSTBOND Academy, Professional Hair Labs or Scientific Cosmetix word marks or logos as, or as part of, your own business name, trading name, domain name, social handle, app name or logo;
2. describe yourself as “GHOSTBOND approved”, “GHOSTBOND partner”, “GHOSTBOND authorised”, “official GHOSTBOND”, “GHOSTBOND trainer”, “GHOSTBOND educator” or any similar term, unless we have appointed you in writing to that role;
3. hold yourself out as authorised to teach, certify, license or train others in GHOSTBOND methods;
4. imply that GHOSTBOND endorses, recommends, guarantees or is responsible for your services;
5. use the marks in a way that suggests a joint venture, agency, franchise or distributorship;
6. alter, recolour, distort, animate or combine the badge with other marks;
7. use the marks in connection with counterfeit, decanted, relabelled or competing products;
8. register or attempt to register any GHOSTBOND mark, or a confusingly similar mark, anywhere in the world;
9. bid on GHOSTBOND trade marks as paid search keywords without our written permission; or
10. continue any use after your certificate expires, is suspended or is revoked.

7.3 The GHOSTBOND marks are owned by Professional Hair Products Limited (CRO 497664) and are registered in the European Union, the United Kingdom, the United States, Ireland and over 30 further jurisdictions. The principal registrations are scheduled at clause 1.4 of the Intellectual Property and Anti-Piracy Policy. All goodwill arising from your use of the marks accrues to Professional Hair Products Limited. The licence in clause 7.1 is non-exclusive, non-transferable, royalty-free and revocable at any time on notice.

8. Renewal and Expiry

8.1 Where a certificate carries an expiry date, it lapses automatically on that date.

8.2 We will notify you at least 60 days before expiry where we hold a current email address for you.

8.3 Renewal requires completion of the current renewal or refresher module and any assessment. A fee may apply, disclosed in advance.

8.4 On expiry you must cease all use of the badge and of any current-tense certification claim. You may continue to state factually that you completed the course on the original date.

9. Suspension and Revocation

9.1 We may suspend or revoke a certificate where the holder:

1. obtained it by fraud, plagiarism, impersonation or misrepresentation;
2. breaches clause 7 (use of the marks);
3. breaches clause 11 of the Terms and Conditions (piracy or unauthorised distribution of Academy Content);
4. is found to be supplying, promoting or using counterfeit, decanted or relabelled products represented as GHOSTBOND;
5. makes false or misleading claims to consumers about their qualification, the certification, or the products;
6. causes or contributes to serious harm to a client through unsafe practice;
7. has a relevant professional licence revoked or suspended by a competent authority; or
8. engages in conduct that brings the GHOSTBOND name into serious disrepute.

9.2 Procedure. Except where immediate action is necessary to prevent harm or protect the public, we will:

1. notify you in writing of the concern and the evidence;
2. give you 14 days to respond;
3. consider your response and reach a decision, which will be communicated with reasons; and
4. inform you of your right of appeal.

9.3 Appeal. You may appeal within 30 days to hello@ghostbondacademy.com. The appeal is reviewed by a person not involved in the original decision, who will respond within 20 business days with reasons.

9.4 Effect of revocation. On revocation you must immediately cease all use of the certificate, badge and any certification claim, remove them from all channels you control, and confirm compliance to us in writing within 14 days. The certificate number will be marked as revoked in the verification register. No refund of course fees is payable.

9.5 We may publish the fact that a certificate has been revoked where necessary to protect consumers, and will do so proportionately and in accordance with data protection law.

10. Records and Data Protection

10.1 We maintain a certification register containing the holder’s name, certificate number, course, dates and status.

10.2 Certification records are retained for 7 years from issue, to permit verification and to defend claims, in accordance with the Privacy and Data Collection Policy.

10.3 Where you ask us to erase your personal data, we may retain the minimum certification record necessary for the establishment, exercise or defence of legal claims and for the integrity of the verification register.

11. Changes

11.1 We may amend this Policy on 30 days’ notice. Changes to permitted use of the marks apply prospectively from the notice date.
